Girls Gone Hiking - Travel Terms and Conditions

These Travel Terms & Conditions (“Terms”) apply to all trips, retreats, hikes, and travel experiences (“Trips”) organized or hosted by Girls Gone Hiking - Utah (“GGH,” “we,” “us,” or “our”). By booking, paying for, or participating in a Trip, you agree to these Terms in full.

All bookings are subject to availability and confirmation. A booking is only confirmed once you have received a written confirmation from us and the required deposit or full payment has been received.

When making a booking, you confirm that:

  • You are at least 18 years of age and legally capable of entering into a binding contract

  • All information provided is accurate and complete

  • You accept these Terms and Conditions on behalf of all persons included in the booking

  • You have obtained all necessary travel documents, including valid passports and visas

3. Deposits & Payments

3.1 Non-Refundable Deposits

IMPORTANT: All deposits paid at the time of booking are strictly non-refundable under any circumstances, including cancellation by the client, changes in personal circumstances, illness, or failure to travel for any reason. By paying a deposit, you acknowledge and accept this policy.

A non-refundable deposit is required to secure your booking as follows:

  • Standard bookings: 25% of the total booking value

  • Peak season or promotional bookings: 50% of the total booking value

  • Group bookings (10+ persons): 30% of the total booking value

  • Last-minute bookings (within 30 days of travel): Full payment required at time of booking

The deposit amount will be clearly stated on your booking confirmation. Your booking is not confirmed until the deposit has been received and acknowledged by us in writing.

3.2 Balance Payments

The remaining balance of your booking must be paid in full no later than:

  • 60 days before your departure date for standard bookings

  • 90 days before your departure date for group bookings

  • Immediately at time of booking for bookings made within 30 days of departure

Failure to pay the balance by the due date may result in automatic cancellation of your booking without refund of the deposit.

3.3 Accepted Payment Methods

We accept the following payment methods:

  • Major credit and debit cards (Visa, Mastercard, American Express)

  • Bank transfer (details provided at time of booking)

  • Online payment platforms as indicated on our website

All payments are processed in the currency specified at the time of booking. We are not responsible for any currency conversion fees charged by your bank or card provider.

4. Cancellations & Refunds

4.1 Cancellation by the Client

If you wish to cancel your booking, you must notify us in writing as soon as possible. The following cancellation charges apply from the date we receive written notice:

  • More than 90 days before departure: Loss of deposit only

  • 60–90 days before departure: 50% of total booking cost

  • 30–59 days before departure: 75% of total booking cost

  • Less than 30 days before departure: 100% of total booking cost (no refund)

Please note: The deposit is non-refundable in all cancellation scenarios, regardless of notice period given. Any refunds due (excluding the deposit) will be processed within 14 working days.

4.2 Cancellation by the Company

We reserve the right to cancel a booking in the following circumstances:

  • Minimum participant numbers are not met (for group tours)

  • Circumstances beyond our reasonable control (force majeure)

  • Failure by the client to make required payments

Where we cancel a booking other than due to client fault or force majeure, we will offer you either a full refund including the deposit, or an alternative booking of equivalent or greater value.

4.3 No-Shows

No refund will be provided for any no-show, unused service, or portion of travel not used by the client.

5. Changes & Amendments

5.1 Changes by the Client

Any request to amend a confirmed booking must be made in writing. Amendments are subject to availability and may incur an administration fee of up to $75 per change, in addition to any supplier charges. Name changes, date changes, and destination changes are considered major amendments and may be treated as a cancellation and rebooking.

5.2 Changes by the Company

We reserve the right to modify itineraries, accommodation, or other elements of your booking where necessary. In the event of a significant change, we will notify you as soon as possible and offer you the choice of accepting the change, selecting an alternative booking, or cancelling with a full refund (excluding any non-refundable third-party costs).

6. Travel Insurance

We strongly recommend that all clients obtain comprehensive travel insurance prior to travel. Insurance should cover, at minimum:

  • Trip cancellation and curtailment

  • Medical expenses and emergency evacuation

  • Loss of baggage and personal belongings

  • Personal liability

We accept no liability for any losses that would have been covered by adequate travel insurance. Failure to obtain travel insurance does not affect our cancellation policy.

7. Passports, Visas & Travel Documents

It is your sole responsibility to ensure that you and all members of your party hold valid travel documents required for your destination, including:

  • A valid passport with at least 6 months validity beyond your return date

  • All required visas and entry permits

  • Any required health documentation or vaccinations

We accept no liability for any loss or expense incurred due to inadequate or incorrect travel documents. No refund will be given if you or any member of your party is denied boarding or entry due to documentation issues.

8. Liability

Our liability to you is limited to the value of your booking. We are not liable for:

  • Any indirect or consequential losses

  • Losses arising from circumstances beyond our reasonable control

  • Personal injury, illness, or death unless caused directly by our negligence

  • Loss or damage to personal property

  • Any act or omission of a third-party supplier (airlines, hotels, tour operators, etc.)

Nothing in these Terms and Conditions limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

9. Force Majeure

We shall not be in breach of these Terms and Conditions nor liable for any failure or delay in performance arising from events beyond our reasonable control, including but not limited to: acts of God, natural disasters, epidemic or pandemic, war, civil unrest, terrorism, government restrictions, strikes, or infrastructure failures. In such circumstances, we will endeavour to offer alternative arrangements where possible, but no refund of non-refundable deposits will be provided unless required by applicable law.

Group leaders have full authority regarding safety and group wellbeing. Failure to comply may result in removal from the trip without refund.

10. Complaints

If you have a complaint during your trip, you must notify our representative or the relevant supplier immediately so that action can be taken to resolve the issue. If your complaint is not resolved locally, you must notify us in writing within 28 days of your return date. We will acknowledge your complaint within 5 business days and respond in full within 28 days.

11. Privacy & Data Protection

By making a booking, you consent to the collection and use of your personal information as described in our Privacy Policy, available on our website. We may share your personal data with third-party suppliers (such as airlines and hotels) as necessary to fulfil your booking.

12. Governing Law

These Terms and Conditions are governed by and construed in accordance with applicable law. Any disputes arising from these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of the applicable jurisdiction.

13. Amendments to These Terms

We reserve the right to update or amend these Terms and Conditions at any time. The version in force at the time of your booking will apply to your booking. We encourage you to review these Terms and Conditions each time you make a booking.
