Girls Gone Hiking - Travel Terms and Conditions

These Travel Terms & Conditions (“Terms”) apply to all trips, retreats, hikes, and travel experiences (“Trips”) organized or hosted by Girls Gone Hiking - Utah (“GGH,” “we,” “us,” or “our”). By booking, paying for, or participating in a Trip, you agree to these Terms in full.
A non-refundable deposit is required to confirm your booking.
If booking 56 days or more prior to departure, only the deposit is required at booking.
If booking within 56 days of departure, full payment is required at the time of booking.
Your spot is not secured until payment is received.
Deposit Requirement
Acceptance of Booking & Final Payments
Once we accept your booking, you will receive a booking confirmation invoice. A binding contract exists:
On the date we issue the confirmation invoice; or
If booking within 56 days of departure, when payment is accepted.
Final payment is due no later than 30 days before departure.
If final payment is not received by the due date, we reserve the right to treat your booking as cancelled, and applicable cancellation charges will apply.
Trip prices are subject to variable and seasonal pricing based on demand, availability, and market conditions. Prices may change at any time before booking is confirmed.
Guests on the same trip may pay different prices.
If you like the price shown, we recommend booking immediately.
Discounts or promotions introduced after booking do not apply retroactively.
We reserve the right to impose surcharges up to 56 days prior to departure due to:
Increased transportation or lodging costs
Government taxes or fees
Exchange rate fluctuations
Increased supplier costs
We will absorb up to 2% of any surcharge; guests are responsible for the remainder.
If a surcharge exceeds 10% of the trip price, you may cancel within 14 days of notification for a full refund.
Pricing & Surcharges
To confirm travel arrangements, you must provide requested details, which may include:
Full legal name (as shown on passport or ID)
Date of birth and nationality
Passport information (if applicable)
Emergency contact details
Pre-existing medical conditions that may impact participation
Failure to provide required information may result in cancellation without refund.
Required Traveler Details
Cancellations must be submitted in writing to be valid.
Cancellation fees are as follows:
60+ days prior to departure: Deposit held as credit
31–59 days prior: 30% of total trip cost
15–30 days prior: 60% of total trip cost
14 days or fewer: 100% of total trip cost
Deposit credits:
Do not expire
Are non-transferable
May not be applied to the same or similar dates
No refunds are issued for:
Late arrival or early departure
Missed activities
Leaving a trip once it has begun
Cancellation by You
Trips are generally guaranteed to depart once one guest is fully paid, unless a minimum group size is stated.
If we cancel a trip (excluding Force Majeure):
You may transfer payments to another departure, or
Receive a refund of amounts paid
Cancellation by Us
A Force Majeure Event includes, but is not limited to:
Natural disasters
Extreme weather
Epidemics or pandemics
Government restrictions
Civil unrest or travel bans
If cancellation occurs due to Force Majeure:
You may receive a 100% credit, or
A refund minus unrecoverable costs
No compensation is provided for incidental expenses (flights, insurance, visas, etc.).
Force Majeure
Credits issued:
Do not expire
Are non-transferable
Cannot be redeemed for cash
Cannot be used for flights or insurance
Booking Credits
Transfers to another trip or person may be permitted only if operationally feasible and approved by GGH.
No amendments are permitted within 56 days of departure.
Booking Amendments
Included:
Lodging as stated in itinerary
Group leader services
Scheduled activities and select meals
Not Included:
Flights or airport transfers (unless stated)
Travel insurance
Meals not listed
Personal expenses
Optional activities

Age & Health Requirements
Minimum age: 18 unless otherwise stated
Maximum age: None, but trips may be physically demanding
You are responsible for determining your fitness and seeking medical advice prior to travel.
Some trips require additional waivers or third-party agreements. Failure to sign required waivers may result in denied participation without refund.
Waivers & Additional Terms
You are solely responsible for obtaining valid travel documents. Passports must generally be valid 6 months beyond trip end date.
Passports & Visas
All travelers must carry travel insurance, including:
Medical coverage
Emergency evacuation
Trip cancellation
Proof of insurance may be required prior to departure.
Travel Insurance (Mandatory)
Itineraries are subject to change due to weather, safety, or logistical reasons.
Significant changes will be communicated when possible. After departure, additional costs caused by emergency changes are the traveler’s responsibility.
Itinerary Changes
Group leaders have full authority regarding safety and group wellbeing. Failure to comply may result in removal from the trip without refund.
Authority on Trip
You acknowledge that outdoor travel and hiking involve inherent risks. Participation is voluntary and at your own risk, including risks related to illness, injury, weather, terrain, and COVID-19 exposure.
Assumption of Risk
Optional activities are not part of the Trip contract. Any arrangements are solely between you and the provider.

Claims & Complaints
Concerns should be raised with the group leader during the Trip. Written complaints must be submitted within 30 days of trip completion to:

If any provision of these Terms is found unenforceable, the remaining provisions will continue in full force.
